SAP Flexible Real Estate Management:
Room Inventory

The room inventory is a database that counts, measures, and describes rooms. The primary purpose of the inventory is to apply a uniform coding structure to every room on campus in order to categorize space according to the architectaul features of the room (i.e. classroom, research lab, office etc).and/or the activities taking place in the room (i.e. instruction, research, public service, student support etc.). An up-to-date inventory is required by the Texas Higher Education Coordinating Board and State Law (sections 61.0572 and 61.058 of the Texas Education Code) and it is used for the purpose of:

  • assessing facilities by type of space, function, program area, department/office, and college/division
  • assessing space allocations and room utilization
  • space planning
  • calculating Higher Education Assistance Funds (HEAF)
  • calculating Facilities and Administrative Costs (aka Indirect Cost Recovery)

Basis for Classification: Information to properly code rooms can best be obtained by a visual inspection of each room and monitoring the activities taking place in the room. The evaluation of a room’s functional use should be based on the judgment of a departmental representative. A room’s type, use and function can change from one inventory or audit date to another and should be updated as needed to reflect a current room inventory.
