Meeting Schedule and Deadlines


Beginning June 4, 2018 researchers will use the new Kuali Protocols software system for submission of IRB applications.
In order to migrate data from the current systems, no new applications will be accepted after Friday, May 18. All outstanding protocol revisions and updates will be due on Friday, May 25 at 12pm.
Note: If you have begun an application prior to May 18, it will not be saved and migrated to Kuali Protocols. You will be required to start a new protocol after June 4.
In-person training dates for the new system have been scheduled.

Full Board Review
Deadlines apply to projects needing Full Board review only. New applications and other submissions that are ready for review and received by 5:00 p.m. the day of the deadline will go to the next scheduled committee meeting.
Please see below regarding investigator attendance at convened IRB meetings during which his/her protocol is being reviewed.

Other submission types
All other submissions (e.g. expedited and exempt new protocols, minor amendments, etc.) will be reviewed in the order in which they are received. If you are unsure which type of review your project needs, please call the Human Research Protection Program for assistance at 512-245-2334.

Investigator Attendance
The IRB board invites PI’s to attend convened meetings when the PI’s study is under review to enable the investigator to answer questions in real time about the protocol. Attendance is expected of all applicants and the board has the right to postpone the review until the next meeting. The process allows for increased transparency and communication and may help streamline the IRB communication and review process.

General guidelines

  • The PI will be notified of date of review when the application is assigned to a meeting and estimated review time of the meeting
  • It is not possible to guarantee the precise time during the meeting that an application will be reviewed, though every effort is made to limit the time a PI is asked to wait. A typical meeting lasts approximately one and a half to three hours depending on volume and complexity of reviews.
  • PIs will be asked to wait outside the IRB meeting room or to be available by telephone to answer any of the Board’s question

Attendance logistics

  • The PI’s, and CoPI’s may attend (If you are a student PI your faculty advisor/sponsor is encouraged to attend)
  • PIs will be required to notify ORIC if they are unable to attend in person
  • ORIC/IRB staff will invite the PI to come into the meeting to answer questions. Once all questions are answered the PI will be asked to step out of the room while the IRB deliberates their decision. The ORIC staff or IRB members will notify the PI about their decision in person (if you choose to wait) or email.
  • If revisions are requested ORIC staff will notify you by email the requested revisions. You will have 30 days to submit these revisions to ORIC for review.
