Sponsored Programs Pre-Award Workshop

Presentor(s): Kay Beauchamp, Evy Gonzales, and/or Jeanne Genaske

Description: This workshop is intended for faculty or staff who have not yet submitted a grant proposal at Texas State. If you plan to submit a proposal you should attend this
workshop to learn how the Office of Sponsored Programs (OSP) can help you
with the process. The workshop will address the following services of OSP:

• finding funding sources
• knowing about compliance issues that could concern you
• preparing a proposal
• preparing a proposal budget
• knowing what processes to follow

Sponsored Programs Post-Award Workshop

Presentor(s): W Scott Erwin, Julie Brown, Jeff Lund

Description: We will discuss the following services of the Office of Sponsored Programs:

• establish, maintain and close sponsored program accounts
• interpret and enforce sponsor, University and other administrative policies
• monitor expenditures for compliance with sponsor and University policies and procedures
• prepare and monitor sub awards and subcontracts
• work with faculty and staff to provide accurate and timely financial information
• prepare financial reports to sponsors
• carry out cash management responsibilities associated with the funding of sponsored projects
• act as a liaison with other University administrative support units, sponsors, and auditors
• advise on post award business and financial matters
• assistance with SAP Grants Management

Human Resources will review the following policies and procedures related to:
• performance appraisal
• compensation
• classification

Sponsored Programs Effort Reporting Workshop

Description: This effort reporting class will help you better understand issues related to effort reporting. Effort reporting class objectives include: review of effort reporting and cost sharing; understanding salary components of a grant proposal budget; understanding the relationship between payroll and effort certification forms; understanding the effort package; and discussion of ongoing issues.

Sponsored Programs Compliance Issues Workshop

Description: This workshop is for staff with experience in post-award contract and grant administration. There will be a short review of guidelines, and then we will hold a general discussion to answer your specific questions and concerns regarding university polices, agency guidelines or grant specific issues. In order to allow us to prepare for this workshop, please e-mail us any questions or concerns you would like to see addressed. Problems you have had in the past that were difficult to solve may benefit someone else in the workshop, so feel free to send these types of comments and/or questions also.

Sponsored Programs Export Controls Workshop

Description: What do US national security regulations have to do with my research?

*Traveling abroad for academic or research purposes?
* Shipping equipment to a foreign country?
* Collaborating with foreign colleagues in foreign countries?
* Training foreign nationals in using Texas State equipment?
* Working with a country subject to a U.S. boycott?
* Is your RFP marked "Export Controlled"?
* Is your sponsor requiring pre-approval rights over publications or
the participation of foreign national students?

Texas State faculty and staff need to be aware of export control regulations and the many ways that they may impact on research and academic activity. The term "export" as used in these regulations includes not only the actual physical export or shipping of goods to foreign countries, but also "deemed exports" which includes the transfer/disclosure in any form of export-controlled items or information to foreign nationals.

Sponsored Programs Contracts Workshop

Description: This workshop will cover sponsored program contracts including legal terms and risks.
We will focus on how to develop a contract that conforms to the requirements of the sponsor and the university. Topics will include: best practices in complying with grant conditions and regulations, how to track grant spending to ensure proper financial reports and how to understand liability waivers.

GAMS Workshops

GAMS Introduction Workshop

Presentor(s): OSP Staff

Description: This workshop will provide participants with an overview of GAMS (Grants Application Management System). GAMS is a pre-award information system for applying for sponsor-funded research projects. GAMS is fully compatible with major Federal eGovernment initiatives including Grants.gov, and is a cooperating partner of the NIH eRA Commons initiative. It is a web based application supported by IE and Netscape and is comprised of proposal development, routing, approval cycle and advanced reporting .
GAMS will improve the collection of required proposal information by investigators and administrators
by providing a single location for the upload of all proposal documents.

GAMS Routing and Approvals Workshop

Description: This workshop will provide participants with an overview of GAMS (Grants Application Management System) routing and approval cycle. This class is intended for those individuals in the routing and approval chain of authority.

GAMS Budgeting Workshop

Presentor(s): OSP Staff

Description: This workshop will cover the basics of GAMS Grant Budgeting. Your proposal budget is the fiscal representation of your project. This workshop will address how to develop a budget that meets the needs of your proposed project, while at the same time conform to the requirements of the sponsor and the university. Topics will include: cost-sharing, salaries, fringe benefits, sub-contracting with collaborators, how to determine direct and indirect costs, and post-award accounting procedures.
