Whether your event is on campus or off, we're here for you. And we work with both Texas State offices and departments as well as off-campus groups on a wide range of programs throughout the year, using the resources of the entire university.
Note: Texas State departmental events that require help with food and housing needs only, you can work directly with the Department of Housing and Residential Life.
Conference/Program/Course Planning Assistance
• Communicate with university administration, sponsors, planning committee, housekeeping, food service
(including receptions, meals, and special events)
• Arrange for audio-visual equipment and media assistance
Financial Planning & Management
• Assist in setting fees
• Maintain accurate record of expenses and income
• Disburse funds for payment of expenses
• Process requisitions, purchase orders, and other routine expenditures
• Prepare final statement of account
Publicity & Promotion:
• Provide mailing services (smart-mailer/bulk mailing)
• Program page on Continuing Education web site
Conference Administration:
• Prepare Continuing Education Unit Certificates
• Receive money and provide receipts (including credit card payment)
• Send out confirmation letters, and other materials as required to program participants.
• Construct conference packets – include conference materials, name badge, participant roster, etc.
• Buy supplies
• Coordinate housing details
Facility Assistance
• Correlate conference design needs with university facilities
• Determine program/conference location(s) and dates and secure confirmation
Evaluation:
• Provide and collect program evaluation forms
Program Development
• Assist with the development of program goals and objectives and help establish overall content and operational
parameters.
Conference/Program/Course Planning Assistance
• Assist in the development of agenda of conference responsibilities
• Secure Texas State speakers; arrange for speakers’ and/or consultants’ travel
• Block hotel rooms
Financial Planning and Management
• Develop fiscally sound individual conference/program/course budget with client
• Negotiate and develop contracts for services
• Prepare honoraria for speakers
Publicity and Promotion
• Assist in the design and production of program
• Assist with determining target audience
• Develop and/or identify mailing lists with clients direction
• Arrange for calls for papers and other services if needed
Conference Administration
• Establish the Continuing Education Office as a providers of continuing education units with a specific licensing,
certifying or regulatory body where necessary. This process is used as a means to determine the value of a
learning experience within a continuing education program/course.
• Manage details of program from start to completion for Texas State programs
• Provide other support necessary to guarantee a successful program
Catering Assistance
• Help determine daily menus, price for meals, banquet seating arrangements, number of people per meal and
time meal required to be served
• Communicate all catering arrangements with campus food service
• Discuss special set-ups or arrangements for any Texas State catering functions
Evaluation
• Collect program evaluations and provide synopsis
