This policy and procedure document was updated on an interim basis
and will undergo significant revisions as the new degree planning tool
(Degree Audit Reporting System [DARS]) is developed.

PURPOSE
|
- The preparation of degree outlines is a routine function in academic advising centers, department and college offices. This degree planning tool serves to assist undergraduate students in planning their academic programs and achieving their academic goals on schedule.
- In general, students should apply for an official degree outline as soon as a major and minor are selected, but no later than completion of 45 semester hours of credit toward a degree. Students may use unofficial degree outlines, which may be requested at any time, as a means of improving their planning; however, students must meet departmental and college criteria prior to applying for and receiving an official degree outline. Responsibility rests with advisors in academic advising centers or the department chairs to develop procedures for contacting those students who fail to make application at the appropriate time.

PROCESSING THE DEGREE OUTLINE

- Authority may be delegated to advisors in academic advising centers or to faculty members in departments for the preparation of degree outlines and advising students, and it is the responsibility of the advisors or the department chairs to insure the accuracy of degree outlines. Signatures are not required on degree outlines, but college deans may require them as a local option.
- School deans have final approval authority for degree outlines, but this authority may be delegated to an advisor in the academic advising center or to a department chair.
- Copies of the official degree outlines should be made available to students as soon after preparation as possible, but no later than five working days after preparation.
- Advice regarding the content of the degree outline is the responsibility of academic advising center staff, the faculty advisor, the department chair and, ultimately, the college dean. Any changes in an approved degree outline must be made by advisors in the academic advising center, the department chair, or the college dean. Updated copies of the degree outlines will be made available to the students by the academic advising center or the department.

RECOMMENDED RESPONSIBILITIES FOR SCHOOL
|
- College deans are urged to maintain up-to-date written policies and procedures relating to the preparation of degree outlines.
